02Who we're looking for

Who to invite (aim for 20)

  • ICs with no direct reports, able to attend the full day in person
  • At least 10 from non-engineering functions (ops, compliance, support, marketing, finance, HR, legal)
  • 10 who've never used ai.com (via HR) and 10 who have, picked by us from the alpha user list, including some who stopped
  • 2–3 who joined in the last 6 months, and a range of AI comfort levels
  • Recruited as small groups of 2–4 from the same team, so they share channels and context

Assigning groups

  • C = the 10 picked from the alpha user list. If an HR sign-up says they've used ai.com, check the list before counting them as a never-user.
  • Split the 10 never-users 5 and 5 into A and B at random within each team, so the two stay comparable. Anyone HR says can't do the 20-minute setup goes in A.
  • Try to give every A a B or C teammate, whose account they can use in session 2
  • Red gets 2 Fresh Users (A), 3 Early-setup Users (B) and 5 Alpha Users (C). Blue gets 3, 2 and 5. Blue has the extra A because Jeet sits there as the third observer. Keep teammates together.
  • Give everyone an ID (P01–P20). From then on, names appear only in the roster.
  • Fewer than 20? Keep at least 2 Fresh Users (A) per room, then fill B, then C. 14 people (2 A, 2 B and 3 C per room) still works, and every observer still has someone to watch.

Subject: Help needed: ai.com co-create workshop, HK office, Mon 5 or Tue 6 Oct Hi [name], We're running a one-day, in-person workshop in the HK office where 20 Crypto.com colleagues help shape ai.com, our internal AI workspace (currently in alpha). They'll try it, react to early designs, and come up with ideas with us. Could you help with recruiting and logistics? DATE • Mon 5 or Tue 6 Oct 2026, whichever has rooms free, 09:30–16:00 (our team is there 08:30–16:30) ROOMS • 1 main room for about 28, set up as 4 tables of 5, with a large screen and some clear wall space • 2 breakout rooms for about 14 each, with a screen and a whiteboard • Guest Wi-Fi that can reach our test environment (we'll confirm the domain) FOOD & DRINKS (about 28 people) • Breakfast at 09:30, lunch at 13:00, snacks at 14:40, and coffee and water all day. Please ask about dietary needs. PARTICIPANTS (up to 20) • Individual contributors only, with no direct reports • At least half from non-engineering functions • 10 who have never used ai.com, recruited through you • 10 alpha users, who we'll invite ourselves from the alpha user list (we'll share the names so you can include them in logistics) • Ideally small groups of 2–4 from the same team • Please include this sign-up link in the invite (12 questions, about 5 minutes): [link]. Because the date is close, we need responses by Mon 28 Sep, and we'll confirm people that day. • When you invite people, please also check: which of the two days they can make, any access or dietary needs, and whether they could spend about 20 minutes on 29 or 30 Sep connecting their work tools to a test version of ai.com (only some will need to). • Participants need their manager's OK. A short note for managers is attached. A few participants will do a 20-minute setup on 29 or 30 Sep. We'll contact them directly. Thanks so much! [Jeet]

Sign-up questionnaire
ai.com workshop: sign up (5 minutes) These answers help us plan the day. We'll share what everyone said, anonymously, at the start. There are no right answers. ABOUT YOU 1. Name [short answer] 2. Team [short answer] 3. In one sentence, what does your job involve day to day? [short answer] 4. Have you used ai.com (the internal alpha)? [Never / Once or twice / Most weeks / Used it but stopped] 5. What do you think ai.com is? One or two sentences. It's fine to guess, or to say you've never heard of it. [short answer] YOUR WORK AND AI 6. Which AI tools do you use for work? Tick all that apply. [Claude / Gemini / Cursor / AI built into another tool (e.g. Slack, Notion, Google) / None / Other: ___] 7. How often do you use AI for work? [Never / A few times a month / Weekly / Daily / Many times a day] 8. What do you use AI for at work? Tick all that apply. [Writing or editing (emails, docs, messages) / Summarising long documents or threads / Finding information or research / Meeting notes / Coding or debugging / Data analysis, SQL or spreadsheets / Translation / Brainstorming ideas / Designs or images / Replying to customers / I don't use AI for work / Other: ___] 9. How would you rate your confidence with AI tools: knowing what they can do, finding your way around them, and getting good results? [1 = beginner, I rarely use them · 2 · 3 = comfortable with the basics · 4 · 5 = expert, others come to me for help] 10. Think about last week. Which task took far more time than it should have? What was it, and roughly how long did it take? (For example: collecting updates for a report, searching Slack for a decision, explaining the same thing to several teams.) [paragraph] 11. Think of a recent time you needed an answer and couldn't find it yourself. (For example: why a process works the way it does, where a document lives, or what was decided in a meeting you missed.) What was the question, where did you look, and who did you end up asking? [paragraph] 12. If an AI agent could take one repeating task off your plate, which would it be, and how often do you do it now? Is there anything you'd want it to check with you before doing? [paragraph]

How we use the answers: "About you" sorts people into groups and rooms. "What do you think ai.com is?" gives us a before-picture to compare with what Fresh Users say after first use in session 1. Dates, dietary needs and setup availability come from HR. The AI questions balance the tables and feed the kickoff. Time drains become the session 4 prompts. The slow question seeds session 2. The hand-over answer checks the scenarios cover what people want. Names go only into the roster, and are replaced by IDs everywhere else.

Setup guide (email)
Getting set up for the ai.com workshop (about 20 minutes) On the day you'll ask ai.com about your own work, so it needs a few days with your work tools first. Please do this by [Wed 30 Sep]. 1. Open [staging URL] on your work laptop and sign in with your Crypto.com account. 2. Connect the tools you use: [confirmed list, e.g. Slack, Jira, Confluence, Google Calendar]. 3. That's it. It learns in the background. 4. Tell us how it went (2 minutes): [setup form link] Stuck? Please don't ask a colleague. Tell us in the form. Where you got stuck is exactly what we need to know.
Setup form (Google Form)
ai.com setup: how did it go? (2 minutes) 1. Participant ID [short answer] 2. Did you finish setting up? [Yes / Partly / No] 3. Roughly how long did it take? [Under 5 min / 5–15 / 15–30 / Over 30] 4. Where did you get stuck or confused, if anywhere? [paragraph] 5. Anything that surprised you? [paragraph]

INTRO (3 min) "We're testing ai.com, not you. Please think out loud. I'll mostly stay quiet, even if you ask me something. That's on purpose. OK if we record your screen?" TASK (up to 20 min) "Here's the link: [staging URL]. Please get set up so ai.com can see the work tools you use." • Don't help. If they've been stuck for 2 minutes, ask "What would you do if I weren't here?" After 4 minutes, give the smallest possible hint and note it as an ASSIST. • Note the time taken for each step, every hesitation, and every "hmm" or "oh nice". AFTER (7 min) 1. "How was that, in a word or two?" 2. "What did you expect to happen after connecting?" 3. "Was there a moment you nearly gave up?" 4. "What do you think ai.com will do with what you connected?" (Don't correct them.) Notes go in the notes sheet with session = setup-observed.
